APEX Wheels is seeking an outgoing and people oriented individual to be our HR Manager. This is a fully remote position that can be done from anywhere in the USA, with a few trips a year to our Pleasanton, CA headquarters for team building. If you're local that's even better. This is a department of one. There are no direct reports that need management, but your experience allows you to manage and oversee all HR activities, work directly with the CEO and managers of other departments, and most importantly to take on new challenges without direction from supervisors.

APEX designs and distributes lightweight, motorsport wheels for racers and car enthusiasts, and our team is packed full of enthusiasts who eat/sleep/breathe cars. You don't have to be a car enthusiast to fit well into this role, but you absolutely do need to be passionate about HR because you're shaping what it means at APEX. With how fast we've grown, The CEO and management has had less time for check-ins, fewer team building events, and less time to clarify individuals goals. We need you to jump in and help get HR back on track, and then take us to the next level with new initiatives. This is not an administrative role just filling out paperwork for compliance purposes. We want to lean on your experience and creativity to help boost employee performance, morale, and retention.

You don't need to be a legal wizard, as we'll rely on attorneys and HR consultants for setting policies that meet legal requirements. You do need to be great with computer systems as software is key to managing so much on your own. If you don't already use help guides to bolster your software knowledge, or you forever struggle to learn a UI, then you'll flounder among all the systems we expect you to be a power user of. If you're genuinely excited by the thought of implementing advanced features and automations, then you'll fit in well.

You'll need to be comfortable with each day being different from the next initially with multiple projects going on simultaneously, but once good systems and processes are in place, you'll thrive with a consistent workload and you'll quickly handle established or repetitive activities. The focus of this position is working with and through others, building and maintaining relationships, and working closely and accurately within guidelines you'll help set. You need to be an effective communicator. Someone who is able to stimulate and motivate others while being aware of and responsive to their needs and concerns. A persuasive teaching style of communication is required to communicate the company's policies, programs, and systems. A faster-than-average pace will be the norm for this position. Detail work is a major focus of the job, and those details need to be handled quickly, correctly, and efficiently. Getting it "done right" with no mistakes is key when people's paychecks, careers, and the law are on the line.


Responsibilities

  • Improve employee performance, morale, retention, and compliance in partnership with leadership and management.
  • Take most HR responsibilities away from the CEO and support our mid level managers with HR expertise during hiring, goal setting, feedback, reviews, compensation changes and more.
  • Oversee best practices training and support to managers so they don't create liabilities.
  • Recruiting: Help grow our 30 person team by about 5-10 new members in the coming year, and potentially help build the team for our new subsidiary if our joint venture goes through.
  • Improve our interviewing workflow and provide coaching for managers so they conduct better interviews.
  • Oversee and improve the onboarding process. Better pre-planning, device sourcing, day 1 onboarding, and expectation setting. Create branded welcome packages. Setup post start check-ins.
  • Ensure multi state compliance. Staff in 10 states and growing. Work with our legal counsel and HR consultants to maintain and customize each state policy. Understand and minimize state to state differences where it makes sense. Keep policies and documents up to date, and clear to staff.
  • Oversee our Workable ATS, Rippling HRIS, and Lattice PM systems. Be an admin and power user. Use advanced features, setup automations, and ensure they are fully leveraged by the team.
  • Building: Implement new policies and changes. If we want to add a new employee benefit, then help with plan and policy design, legal coordination, and roll out.
  • Work with the CEO and legal counsel on sensitive topics.
  • Update system settings to match our policies for each state, and ensure pay, benefit changes, and employee records are up to date.
  • Work with our benefits broker to ensure smooth onboarding, changes, offboarding and proper setup in our HRIS.
  • Assist with payroll, timecard and PTO review. Payroll can be processed in just a few clicks, but we need to ensure time cards don't have mistakes and recent pay changes or bonuses aren't missed.
  • Oversee employee records. We have some old paper records and new digital records. They aren't together. Help maintain an easily accessible employee file.
  • Help build a better culture with team building events that can be done remotely as most staff are remote, and orchestrate occasional in person company gatherings.
  • Create and foster praise/recognition programs.
  • Use Lattice grow for career path tracking and compensation transparency.
  • Formalize company announcements, newsletters, memos, and bulletin boards.
  • Support employees to resolve questions/challenges and provide an excellent experience to the APEX team.

Requirements

  • College graduate with 5 years of business experience (or equivalent experience and PHR certification) in small to mid-sized companies
  • Previous experience in Human Resources, Recruiting, or Training functions (preferably at least 2 of the 3).
  • Excellent proven communications expertise in written and oral settings. While most communications will be one on one, some experience with small groups is also preferred.
  • Experience in facilitating group events - in person and remote.
  • Superior organizational and computer skills - you'll own the people business and records and we know there is a lot of room for improvement here.
  • HRIS software experience - Rippling preferred
  • ATS software experience - Workable preferred
  • Goals setting/management software experience - Lattice preferred
