Summary

Mod Op's Executive Assistant is the communication and organizational hub for Mod Op executives. They provide personalized secretarial and administrative support in a well-organized and timely manner and will work on a one-to-one basis on a variety of tasks related to executive's working life and communication. Mod Op Executive Assistants are detail-oriented, have a "can-do" attitude, and are eager to learn new things. They are tasked with problem-solving, coordinating details, organizing materials, anticipating requests, linking teams, and mastering tools to provide financial, logistical, and operational information across offices and departments.


Essential Functions

Administrative

• Act as the point of contact between the executive and internal/external clients

• Maintain calendar, arrange meetings and appointments, and provide reminders

• Plan meetings and take detailed notes

• Write and organize emails, memos, letters, and forms

• Develop and maintain a filing system (Box, SharePoint, OneDrive, etc.)

• Maintain contact lists

• Book travel arrangements

• Submit and reconcile expense reports (NetSuite)

• Liaise with teams to handle requests and queries


Client Outreach Support

• New business outreach support: emailing existing database using templates

• Data mining/research on LinkedIn for connections and opportunities

• Email sorting / prioritizing

• Managing new business CRM status and priorities

Travel

This position requires up to 0% travel.

Supervisory Responsibility

This position has no supervisory responsibility.

Position Type/Expected Hours of Work

Office hours are 9:30 AM – 6:00 PM Monday thru Friday.


Requirements

Required Education and Experience

• Must live and be legally able to work in Panama, Republic of Panama

High-level proficiency in MS365 Word, Excel, and Outlook

• High-level proficiency in written and spoken English

• Experience with CRM software preferred

• 2-3 years experience as an Executive Admin Assistant, Senior Exec Asst or other secretarial role

• Proven experience in an executive administrative or support role that includes expense reporting, travel arrangement, correspondence, and calendaring

• Professional written and spoken communication skills

• Professional discretion and confidentiality

• Exemplary time management skills

• Interest/ability to learn new platforms and skills

• BA degree or equivalent working experience
