Responsibilities

  • Your Personal Assistant roles and responsibilities include managing the daily schedule and calendar of the executive by coordinating appointments, meetings, and travel arrangements
  • We expect you to handle incoming calls, emails, and other communications on behalf of your head, responding or redirecting as necessary
  • It will be your primary responsibility as a Personal Assistant to help your head manage their time effectively, reminding them of appointments and deadlines
  • As a Personal Assistant, you will assist in organizing and prioritizing tasks and projects for the executive, ensuring deadlines are met and deliverables are completed accurately
  • We expect you to prepare reports, presentations, and correspondence for the executive, utilizing Microsoft Office Suite and other relevant software programs
  • You shall maintain confidential files and documents, exercising discretion and professionalism at all times
  • You may have to undertake special projects and tasks as assigned by the employer, which may vary based on specific needs
  • Your Personal Assistant roles and responsibilities include performing research and, gathering information on various topics as directed by the executive, providing summaries and recommendations
  • You will coordinate and facilitate both internal and external meetings, including scheduling, logistics, and preparation of materials
  • We expect you to support the executive in managing relationships with clients, partners, and stakeholders, ensuring excellent customer service and satisfaction
  • It will be your responsibility as a Personal Assistant to make travel arrangements, including booking flights, hotels, transportation, and creating itineraries, and ensuring all travel-related documents are organized and readily available
  • You will prepare meeting agendas, materials, and presentations, attend meetings, take minutes, and distribute meeting notes
  • You will act as a liaison between the employer and other staff members, clients, and associates and relay messages, instructions, or requests accurately
  • Your duties and responsibilities as a Personal Assistant include greeting visitors and guests, ensuring they are received professionally, and directing them appropriately
  • You will assist with technology-related tasks, such as setting up video conferences, troubleshooting technical issues, and managing digital devices
  • In some cases, you might have to travel with your head to provide support during trips or events
  • You must stay informed about industry trends, news, and developments that may be relevant to your head’s work or interests
